Overview
When working with Range Lists, the user has a high degree of control regarding how the data is filtered and sorted. There are some scenarios, however, where the user requires more control to return values in a specific order. Custom Lists in Cosmos enable the user to specify the exact order in which values will be returned when the report is run and acts as both a sorting and a filtering mechanism.
This article covers the details of how to leverage Custom Lists in your reports.
Details
Custom Lists enable the Report Editor to have complete control over the order in which values are returned by a Range List. When the user has opted to use a Custom List, the ability to specify separate filtering and sorting is removed since the Custom List handles both.
When specifying values within a Custom List, these values must still exist within the table and field that the Custom List is built from. For example, if the user specifies GL Account 10300 in the Custom List, but this account does not exist in the data itself, then this value will not be returned in the report.
How to Add a Custom List
To add a Custom List, the user should follow the standard steps to insert a Range List by selecting the range of Excel cells for the list to include, going to the Range Lists tab of the Cosmos Task Pane, and selecting the table and field that the Custom List should be based on.
Once the standard Range List has been added, the user can navigate to the General section, click EDIT, and click CONVERT TO CUSTOM LIST.
The user will be asked to verify they want to convert the list to a custom list. When converting a list to a custom list all current filters and sorts for that list will be lost. Click CONVERT to continue.
The user can then expand the Values section and enter the values that they would like returned in the report in which they would like them to appear. In the example below, the Salesperson Code field with return the values CN, AH, and LH, in that order.
Since the user has specified the values and ordered them the way they want, this acts as both a filter and a sort when the report is run. If one of the values that is entered does not appear in the data, then it will not be returned in the report.
Below is an example of what this looks like once the report is run.
How to Change the Order of Custom Values
If the user would like the order of the values to change, they can click and drag the handle on the left (which resembles a an equal sign) and drag the value to the desired place in the list.
How to Remove a Custom List
To revert a Custom List back to a Standard List, where the user can set the filtering and sorting separately, the user will navigate to the Range Lists tab of the Cosmos Task Pane, expand the General section, and click on CONVERT TO STANDARD LIST.
